Job Overview

Ensure strong working relationships

  • Maintain professional and respectful interactions with all staff members.

Recruitment

  • Assist with the screening and selection of potential candidates, including participation in first and second interviews.

  • Liaise with recruitment agencies by providing weekly updates and ongoing feedback.

  • Coordinate and schedule interviews with the relevant managers.

  • Ensure all recruitment approval forms include the necessary documentation and signatures, following up where information is outstanding.

  • Provide job specifications and communicate available vacancies to preferred recruitment agencies.

  • Regularly update and manage recruitment platforms, ensuring expired vacancies are removed or closed.

  • Assist with arranging relevant assessments as part of the screening process.

  • Maintain and update recruitment-related checklists.

  • Ensure interviews are scheduled promptly once candidates have been shortlisted.

  • Support line management during interviews and assist in evaluating candidate suitability and cultural fit.

  • Save recruitment approvals electronically, update the vacancy schedule, and maintain accurate vacancy records.

  • Draft and distribute internal vacancy advertisements via email.

  • Conduct reference checks for shortlisted candidates.

  • Update recruitment policies, procedures, and checklists where required.

  • Once a candidate has been selected and the offer has been accepted, initiate the onboarding process.

  • Distribute onboarding documentation to managers and new employees.

  • Provide managers with onboarding checklists and probation documentation for completion.

  • Create new employee profiles within the HR system.

  • Prepare employment contracts, restraint agreements, and job descriptions for candidates or recruitment agencies.

  • Coordinate with IT to ensure equipment is prepared prior to the employee’s start date.

  • Confirm with managers that desk space and stationery are ready for the employee’s first day.

  • Ensure all new employee documentation is completed and shared with the relevant departments.

  • Distribute welcome communications for new employees.

  • Ensure new hires receive all required employment documentation for completion.

  • Welcome new employees on their first day and introduce them to senior management.

  • Maintain and update the staff file audit spreadsheet.

  • Create and maintain electronic personnel files for new and existing employees, ensuring all documentation is properly filed.

  • Conduct regular staff file audits and follow up on any outstanding documentation.

Induction

  • Assist with the coordination and facilitation of employee induction sessions.

  • Arrange catering and venue bookings where required.

  • Support the annual review and improvement of the induction and orientation process.

  • Assist with induction programmes for various operational divisions and driver staff.

Payroll Administration

  • Upload all relevant payroll documentation to the payroll input folder before the 7th of each month.

  • Submit medical aid transfers, new applications, and dependent additions to payroll before the employee’s start date.

  • Ensure provident fund documentation is completed accurately and submitted to the relevant payroll or HR personnel for approval.

Performance Management

  • Collect, record, and follow up on bi-annual employee performance appraisals.

Talent Acquisition

  • Support regional talent acquisition initiatives and related recruitment projects.

Adhoc

  • Provide administrative support to HR and payroll management on various projects and tasks.

  • Conduct telephonic employment verifications when required.
